Document overview

‍The document inbox is your starting point for managing and validating documents.


Manage your view

By default, you are taken to the All Documents view, where you can search, filter, and amend all documents across the document feed, inbox, and archive.

From this view you can upload documents to the document feed, or directly to the inbox. We support both PDF and Excel file formats. Uploaded Excel documents will be automatically converted to PDF and processed through the Carta LP Portfolio Analytics platform. ​

From this view, you can quickly navigate to any saved custom views, open the filter panel to filter down your results, or use the search box to locate specific documents by a variety of categories.

Other pages in the main document area are the Document tracker, Document feed and Archive sections.

Document preview

Click on a document name to open a preview window and

  • View and edit document meta data

  • Preview the document, flip through the pages, and zoom in on any key data

  • Click on the file name to open the PDF in a new window

  • Use the PREV / NEXT buttons to instantly go to the next document


Document validation

The grid displays available validation buttons on hover.

Options are:

  • VALIDATE
    Main call to action to start your workflow

  • VALIDATE CLASSIC
    Allows temporary access to an older version of the validation screen; please note this will be deprecated over time

  • RE-PARSE
    Shown where a document needs to be re-parsed before it can be validated e.g. if document type/fund is changed. (NOTE: During parsing, the platform processes a document to identify and extract funds, assets and metrics)

Bulk actions

Quickly edit the metadata for lots of documents using our bulk actions or our copy-paste capabilities. Simply select a cell which has your desired data, click CTRL+C and then use CTRL+V to paste the data into another cell. You can also do this in bulk by highlighting multiple cells before clicking CTRL+V.

Using the checkboxes next to document names, you can select multiple documents and choose from any of our bulk actions:

  • Re-parse documents – Send selected documents to the Carta LP Portfolio Analytics parser, e.g. after editing fund name and / or document type. Available for inbox and archive.

  • Generate quick report – Generates an Excel export of selected documents with status Completed in the default Carta LP Portfolio Analytics Excel template. Available for inbox and archive.

  • Generate custom report – Create and manage custom export formats. Available for inbox and archive.

  • Archive / unarchive documents – Move selected documents from primary inbox to the archive section. Available for all locations.

  • Delete files – Removes selected documents from inbox (NOTE: Validated documents will automatically be sent to Archive first). Available for all locations.

  • Download PDF document(s) – Downloads selection in a ZIP folder. Available for all locations.

Available bulk actions are determined by the location of document (document feed, inbox, or archive).

E.g. if a document sits in the document feed, the re-parse bulk action will not be available, whereas documents in the inbox will have this action available.

If documents across locations are selected, then only actions which can be applied to all selected documents will be displayed. In the above example, if documents in both the document feed and inbox are selected, then re-parse will not be available.

Note: Once a document is validated, it cannot be re-parsed. Changes to the metrics can still be made and saved, but no metadata or reference data can be changed. If you delete a completed document it will be moved from the inbox to the archive section.

Tip: Identifying documents with UNKNOWN FUND

When a document can't be matched to a fund in your reference data, it will be shown as 'Unknown fund'.
