How to set up and configure offer letters

For teams that need to hire world-class talent, Carta's Offer Letter is an elegant, fully interactive offer statement that communicates the full picture of a job offer—from salary to equity, benefits to work culture, and everything in between.

Offer Letters can be sent from either the Offer Letters tab or for a specific job from the Reports tab within Carta Total Comp.

To begin creating and sending offer letters to candidates, settings must first be configured by a company administrator

Configure settings

Navigate to Total Compensation

Click the Offer Letters tab.

Select Get started.

Review the disclaimer and check the box to acknowledge and agree to all outlined terms and conditions.

Click Get started to proceed.

Configure the product prior to sending the first Offer Letter.

You can set up offer letters by following the Setup Guide.

These settings can also be accessed from the Settings page on the navigation bar and in the Offer Letters tab.

General

Complete the following fields in the General tab then click Save. Fields marked with * are required.

Message template*

Enter a message to be displayed on all offers sent out.

Company overview*

Enter a brief description of your company and its values.

Optional

Upload a company image and/or a video URL to be embedded in the body of the offer letter.

Equity

Complete the required fields in the Equity tab and click Save.

How do you want to communicate equity value in the offer letter?

Company value and price per share

The offer letter and projection charts will show both company value and a price per share.

Company value will be calculated using the price per share (notional value) and fully diluted share count from your cap table.

Price per share only

The offer letter and projection charts will NOT show the company value, but still show price per share.

Strike price

The latest FMV from Carta

The offer letter will use your company’s latest FMV in Carta as its strike price.

Custom

You can set a custom shrink price to show in the offer letter if you do not have, or would not like to use, the latest FMV for your company on Carta.

Optional FAQ section

Complete the fields in the FAQ section. Carta provides a brief FAQ section about equity, but additional FAQ information can be added if desired.

Click Create FAQ to add new content to be available for candidates to review.

Enter a Heading or question for the FAQ and expand on the topic or answer the question in the Content field. Click Save.

Footnotes

Review the required information in the Footnotes tab. Carta provides default footnote language for each equity type in the offer letter, but you can choose to input your own language.

Click Edit to the right of the desired row to edit the footnotes and additional information.

Review the default language associated with each component of the Offer Letter and modify as needed. Click Save.

Click View to the right of the desired row to view the footnotes with the specified details.

If needed, click Where is the footnote content displayed? in the upper right to learn more about footnote locations.

Candidate workflow

Review the required information in the Candidate workflow tab.

Click to choose whether to use Carta’s acceptance flow as the Offer Letter e-sign solution, or opt to use an alternate acceptance flow/signatory product (i.e. Docusign). When finished, click Save.

Optional Appearance settings

Complete the fields in the Appearance tab to customize the appearance of the Offer Letter and create a better association with your brand. When finished, click Save.

View a sample

During or after configuring settings, click the View a sample tab to preview what the offer letter will look like with a set of dummy data.

Once all settings have been configured, navigate back to the Offer Letters page to begin creating and sending offer letters.
